LeadFair ("we," "us," "our") is an AI-powered business management platform based in Huntsville, Alabama. We help small businesses manage leads, answer calls, automate workflows, and improve their online visibility. This policy explains how we handle your information when you use our website (leadfair.ai) and platform.

Information We Collect

Information you provide

When you sign up, fill out a form, or use LeadFair, we may collect:

  • Your name, email address, and phone number
  • Business name and industry
  • Business information you teach the Company Companion (policies, procedures, pricing, etc.)
  • Call recordings and transcripts from the AI receptionist
  • Lead and customer data you manage in the CRM
  • Any other information you provide through the platform

Information collected automatically

  • Standard website usage data (pages visited, browser type, device info)
  • Platform usage data (features used, login times)
  • IP address and approximate location

How We Use Your Information

We use your information to:

  • Provide and operate the LeadFair platform
  • Power the Company Companion, AI receptionist, CRM, automations, and visibility features
  • Respond to your inquiries and provide support
  • Send you text messages if you have opted in
  • Improve the platform and fix bugs
  • Protect against fraud and abuse

What We Never Do With Your Data

  • We never sell your data — not to advertisers, data brokers, or anyone else
  • We never share your data for third-party marketing
  • We never use your data to train AI models for other customers — your Company Companion knowledge, call recordings, and business data are yours alone

Data Storage & Security

We take the security of your data seriously:

  • Encryption: All data is encrypted at rest and in transit using industry-standard encryption (TLS 1.2+ for transit, AES-256 for storage)
  • Access controls: Only authorized personnel can access customer data, and only when necessary for support or platform operation
  • AI security monitoring: We run proprietary AI security agents that monitor for threats including prompt injection, data poisoning, and other AI-specific attack vectors
  • Regular scanning: Our systems are regularly scanned against the latest known vulnerabilities

No system is 100% secure, and we cannot guarantee absolute security. If we discover a breach that affects your data, we will notify you by email within 72 hours of confirming the breach, along with details about what was affected and what steps we're taking.

Data Retention

We keep your data for as long as your account is active. Specifically:

  • Account data (name, email, business info): Retained while your account is active and for 30 days after cancellation
  • Company Companion knowledge: Retained while your account is active. Deleted within 30 days of account cancellation
  • Call recordings and transcripts: Retained for 12 months, then automatically deleted. You can delete them manually at any time
  • CRM and lead data: Retained while your account is active. Deleted within 30 days of cancellation unless you export it first
  • Usage logs: Retained for 90 days for debugging and security purposes

When data is deleted, it is permanently removed from our systems and backups within 30 days.

Text Messaging (SMS)

If you opt in to receive text messages from LeadFair:

  • We will send messages related to your inquiry and our services
  • Message frequency varies
  • Message and data rates may apply
  • You can opt out at any time by replying STOP to any message
  • Reply HELP for assistance
  • Your phone number will not be shared with third parties for marketing
  • Carriers are not liable for delayed or undelivered messages

Third-Party Services

We use the following third-party services to operate LeadFair:

  • Twilio — phone and text messaging infrastructure
  • ElevenLabs — AI voice generation for the receptionist
  • Netlify — website hosting
  • FormSubmit — contact form processing
  • Anthropic (Claude) — AI language model powering the Company Companion

Each service has its own privacy policy. We only share the minimum data necessary for each service to function. We do not allow any third party to use your data for their own purposes beyond providing their service to us.

Your Rights

Regardless of where you live, you have the right to:

  • Access: Request a copy of the personal data we hold about you
  • Correction: Request that we update or correct inaccurate information
  • Deletion: Request that we delete your personal data. We will process deletion requests within 30 days
  • Export: Request a copy of your data in a standard format (CSV/JSON) so you can take it elsewhere
  • Opt out: Stop receiving text messages by replying STOP, or unsubscribe from emails via the link in any email

California Residents

Under the California Consumer Privacy Act (CCPA), California residents have additional rights including the right to know what personal information is collected, the right to delete it, and the right to opt out of its sale. Children's Privacy

LeadFair is designed for businesses and is not intended for use by anyone under 18. We do not knowingly collect personal information from children. If we learn that we have collected data from a child, we will delete it promptly.

Changes to This Policy

We may update this policy from time to time. If we make significant changes, we will notify you by email or through the platform. The "Last updated" date at the top reflects the most recent revision.
